How to Setup the Email Template that Sends a Formal Communication

NOTE: Formal Communications takes various names depending on your Profession.  It could be Lessons, Plans, Communications, Consultations, etc.  For simplicity we call them Formal Communications.

HOW TO SET UP THE EMAIL TEMPLATE USED TO SEND FORMAL COMMUNICATIONS TO CLIENTS

You will notice that when you create your formal communications, you can send them with one click to a client from the client’s CRM page.  During this process you will see there is a email template displayed which you can customize for your client before sending the Formal Communication (as an attachment) via this email.

  • Go to menu item FORMAL COMMUNICATIONS (this could be under a different name depending on your profession, for example, it could be Treatment Plan, Lessons, Advice, Communications, etc).  It is the menu item located under Appointments
  • Select submenu item FORMAL COMMUNICATION – EMAIL TEMPLATE (again, this could be under a different name depending on your profession, for example, it could be Treatment Plan, Lessons, Advice, Communications, etc).  It is the LAST sub-menu item.
  • From here you change the the base template that is used to send out the Formal Communications with your clients.
  • Click SAVE to save your changes

PLACEHOLDERS YOU CAN USE IN YOUR EMAIL

  • {first_name} – which is THEIR first name (specified on their CRM page)
  • {last_name} – which is THEIR last name (specified on their CRM page)
  • {my_from_name} – which is the From Name you specified in MY SETTINGS > MY GENERAL SETTINGS (Email Tab) – BOOKING FROM NAME Text Box
  • {my_business_name} – which is the Business Name you specified in MY SETTINGS > MY GENERAL SETTINGS (General Tab) – BUSINESS NAME Text Box

NOTE: When you use the Placeholders use them like this ‘Dear {first_name}‘ to show ‘Dear Megan‘.  Brackets and lowercase must be used.

EXAMPLE EMAIL SUBJECT

{my_business_name} – Treatment Plan For {first_name} {last_name}

EXAMPLE EMAIL CONTENT

Dear {first_name}

I hope you are well. Thanks for meeting with me the other day.

Attached you will find your Treatment Plan
